RK Dixon
RK Dixon has been a partner of the university for many years providing service for copiers and printer devices, where they gather meter reads to be paid for their service. RK Dixon utilizes a free XDA software to gather meter reads, order supplies, and request services for the various machines in use. The XDA software should be downloaded to read both current and new machines. Please note that the XDA software has been vetted by the University’s internal security risk team and has been approved for campus use. Below you will find the steps to install the XDA software.
- The XDA software can be installed on one or more computers within the department. To do this, the department user must have administrative access to install applications on the University computer. If you are unsure or do not have this access, departments will need to work with their IT personnel for appropriate permissions. If you do not have dedicated IT personnel, please reach out to your IT group for assistance.
- To initiate the XDA request, please reach out to our RK Dixon contact, Taylor Adams at Taylor.Adams@xerox.com.
- Once the request in Step 2 above is initiated, the department contact will receive an email from a Xerox Device Agent representative with the link to download the software to the computer. See attached EXAMPLE. Department emails with be customized with their information.
- These step-by-step instructions will assist the department in downloading the XDA software.
- If the unit is having difficulties with the download, the department can book an appointment directly for a remote session with XDA team to help install the software at – XBS.Midwest.360App@xerox.com or by calling 630-771-8279.
- The department may need a range of all the IP addresses where machines are connected to successfully install the software.

- The XDA software will download in the background and will not affect day-to-day tasks.
- Once the software is completely downloaded, you should see a list of all the active machines with their statuses as pictured below.

To streamline billing procedures departments should initiate requisitions for PO invoicing. Requisitions should be submitted as yearly renewals or whenever a new machine is procured. Please find the requisition setup process below.
- A requisition should be submitted in iBuy on the Purchase Requisition Form to RK Dixon for all meter reads.
- The requisition should include the PO term dates along with any pertinent information.
- In the “External Notes and Attachments” section, the bulletin award number should be referenced, IPHEC 2421GAL.
- There should be two line items, one for black/white copies and one for color, for each machine. The line items should list the Serial Numbers of the associated machine(s).
- Note: if the department is submitting a requisition for more than 4 machines, a standing order form should be submitted for black/white and color copies. The requisition should be accompanied with a list of serial numbers that the PO will cover.
- RK Dixon quotes do not need to be signed.
- Please note: requisitions on the Purchase Requisition form do not need to be routed to PCMO if under the $10,000 threshold.
Invoicing will be submitted monthly for the department with a lump sum cost including all machines. If required, the department may contact RK Dixon to request itemized billing per serial number. While this request is available, the XDA portal allows you to go in and see each machines status (meter reads, supplies ordered, etc.), at any given time.
The University’s current feeder billing system will be phased out by June 30, 2025. Departments should have requisitions submitted with start dates of 7/1/25 to coincide with the new billing process. Please note that the feeder will still process meter read invoices for services prior to 7/1/25.
